How to organize a motorcycle ride to raise money for Relay For Life - the basics!
§ Give your event a catchy name - Some great ones out there are: Relay For Life Ride, Relay For Life Dice Run, Relay For Life Poker Run, Relay Ride For Life,
§ Contact local motorcycle clubs - to participate in the Relay Motorcycle Rally
§ Map out a path for your Rally
§ Have a starting point in a place where a lot of cycles can gather...
§ Get the ok for the date and time from your local chamber or appropriate organization (if it covers multiple jurisdictions, you'll have to contact the state and find out what you have to do) - make sure you check for conflicts with other events - that's the last thing you'll want to deal with!
§ Line up corporate sponsors to support the event
§ Have an ending point where you can have a gathering - see the next point..
§ Set up a restaurant or bar to end at – Make it somewhere you can have a pass the hat fundraiser to get a few more $$ to find a cure! Setup the bar to allow guest bartending by riders - preferably ones that are cancer survivors - and have those people collect tips for a cure!
§ Put together a Registration & Waiver form - define the contribution required, have an arm band they pick up at the event to show they are registered (you could even have shirts they all wear, but not needed), Clarify that they must sign a waiver to participate. See the examples that are provided along with these planning tips.
§ Put together rules for the event that you mail to those who register for it - here are some things to consider - minimum age to participate, rules of conduct, injury/accident disclaimer if waiver is signed; no waiver no participation), no alcohol or smoking - after all this is part of Relay For Life!,
§ Put together an "Event Program" - This will give the participants an event schedule (start and end points, friendly places to stop along the way, sponsors, map of the course, any contests, etc. at the finishing point)
§ Put together marketing - publicity flyers, e-mails to send out to people (please make sure you are not spamming – do get permission from those organizations you are e-mailing by talking to them first), ask for a free ad in your local paper, ask for a public service announcement on your local radio stations, etc.
§ Make sure you work with your community - they may have concerns or objections to having the rally - but remind them of the rules, what it is for/benefits, and so on!
§ Have logistics coordinators at points along the course that are all connected to each other - Use walkie-talkies or cell phones who can handle emergencies, questions, etc. Have coordinators at the start and finish to help volunteers with questions, coordinate setup and cleanup, etc.

Ideas to To Make Your Event Unique

§ scavenger hunt - One ride has a scavenger hunt! Make a list of items that can be found along the way for which you will also award a prize! (such as a certain type of flower - wild daisy, rock, newsaper, photo of a windmill, etc.!
§ A great benefit dinner at the end of the ride! - Make the event your own by having a unique get together at the end of the ride.
